The Daily Inspection Checklist Every Excavator and Loader Operator Should Run
A wheel loader stops halfway through a shift on a site in 6th of October. The radiator has run hot, the coolant is low, and there is a fine dried trail down the side of the block that has clearly been there for days. Nobody put a hand on it. The machine was started every morning, driven straight to the stockpile, and worked until it could not work any more.
The fault that stopped it was visible at ground level, from three metres away, on any of the previous four mornings. That is what a daily inspection is for. It is not paperwork and it is not a formality — it is the ten to fifteen minutes that separate a hose you replace at 7 a.m. from a hydraulic failure that takes the machine, the operator and the crew waiting on it out of the day.
This is a working excavator daily inspection checklist, written for the machines and conditions Egyptian sites actually deal with: heat, airborne dust, fine sand, and long duty cycles on tight programmes. Most of it applies equally to a wheel loader, a backhoe, or a skid-steer.
Do it before start-up, not after
The order matters more than people expect. A large part of the check has to happen with the engine off and cold: you cannot read a hydraulic level accurately on a hot system, you should not open a pressurised radiator cap, and you certainly should not put your hands near a belt on a running engine.
Build the routine in four stages, in this order:
- Ground-level walk-around, engine off.
- Engine bay and fluid levels, engine off and cool.
- Cab checks, before you start.
- Function checks, after start-up, in a clear area.
Nothing in stages one to three needs a tool beyond a rag, a torch and a grease gun.
Stage one: the walk-around
Start at one corner and walk a full circle around the machine, so you cannot skip a side. Look down at the ground first — the puddle under a machine that stood overnight tells you more than any gauge.
Leaks. Note the colour and position. Dark, thin and near the tracks or cylinders is usually hydraulic oil; heavier and near the engine sump is engine oil; coloured and near the radiator is coolant; diesel has its own unmistakable smell. A stain that reappears in the same place every morning is a fault, not a drip.
Undercarriage, on a tracked excavator. Look for track tension — a track that sags badly or is drum-tight both wear expensive components fast. Check for missing or loose track bolts, damaged pads, cracked or seized rollers and idlers, and packed material between the sprocket and the chain. In Delta clay this packing is the norm and needs clearing daily; in desert sand the problem inverts and it is abrasion and seal wear that get you.
Tyres, on a wheel loader, backhoe or telehandler. Check for cuts, exposed cords, bulges, embedded steel and obviously low pressure. Loader tyres on rock and demolition sites are consumables, and a tyre that fails under load with a full bucket raised is a serious event, not an inconvenience.
Cylinders and hoses. Run your eye along every exposed rod — boom, arm, bucket, blade, steering, lift and tilt. A scored or pitted rod will chew a seal and start weeping. Check hoses for chafing where they cross the frame, cracked outer cover, and bulges near the fittings. Never run a hand along a pressurised hose looking for a leak; a pinhole jet will penetrate skin.
Pins, bushings and the attachment. Grab the bucket and look at the pivot points for movement, missing retaining bolts, and elongated holes. Check bucket teeth and side cutters for wear or a missing tooth — a tooth lost into a crusher or a load of backfill causes damage far beyond its own price. On quick couplers, confirm visually that the locking mechanism is fully engaged. On loaders, check that the bucket edge and the coupler pins are sound.
Structure and guards. Cracked welds around the boom foot, the arm, the loader lift arms and the dozer blade mounts. Bent or missing step plates and handrails. Undertray and belly guards present and fastened. Mirrors, beacon, lights and reversing alarm intact and working.
Grease. Most excavators and loaders expect greasing at the start of the shift or at set intervals; the machine's own lubrication chart is the authority. Front-end pins on an excavator working hard in abrasive ground often need it daily. Grease is the cheapest part of the machine.
Stage two: engine bay and fluid levels
Open the covers and check the levels the manual lists — engine oil, coolant, hydraulic oil, and on many machines the transmission or final drives, plus the windscreen washer and fuel.
- Read hydraulic level in the position the manual specifies, usually with the attachment in a stated rest position. A "low" reading with the boom in the air is meaningless.
- Never open a radiator or expansion tank cap on a hot engine. Check the sight glass or the header tank cold.
- The air filter deserves special attention in Egypt. Fine airborne dust and sand load a primary element faster than most service intervals assume, and a restricted intake costs power and fuel and eventually the engine. Check the restriction indicator if fitted, empty the pre-cleaner or dust bowl, and treat the manufacturer's interval as a maximum rather than a target.
- Drain water from the fuel pre-filter or water separator where one is fitted. Condensation and water carried in with fuel are a routine cause of running problems.
- Look at the belts for glazing, cracking and correct tension, and at the radiator and oil-cooler cores for dust and chaff blocking the fins. A blocked core is one of the most common causes of a machine running hot on a summer site — and clearing it is a five-minute job with an air line.
- Check the battery terminals for corrosion and the hold-down for tightness, and look for chafed or hanging wiring looms.
Stage three: in the cab, before you turn the key
- Steps and handholds clean enough to climb safely, and the cab floor free of loose tools that can roll under a pedal.
- Seat and mirrors adjusted, seat belt working and undamaged.
- Controls in neutral, and the pilot control or safety lock lever engaged so the machine cannot move on start-up.
- Fire extinguisher present, charged and in date. First-aid kit present.
- Glass, wipers and washers — visibility is a safety system.
- Horn, lights, beacon and reversing alarm.
- Cab clean of rags and rubbish near the heater and the electrics.
Stage four: start up and test the functions
Start the machine in a clear area with nobody near the working envelope, and let it reach operating temperature before working it hard.
- Watch the gauges and warning lamps come on and go out as expected. A lamp that stays lit is a stop, not a suggestion.
- Listen. Knocking, whining from a pump, an unusual exhaust note, and rattles from the undercarriage are diagnostic information.
- Look at the exhaust. Persistent black or blue smoke after warm-up is a fault.
- Cycle every hydraulic function to full extension and retraction: boom, arm, bucket, swing, blade, lift, tilt, and the outriggers if fitted. Anything slow, jerky, or drifting under its own weight goes on the defect report.
- Test the service brake, the park brake and the steering on a wheeled machine before leaving the stand.
- Test travel in both directions, and check that tracking is straight on a tracked machine.
What the rental relationship adds to this
On rented equipment the daily check does a second job: it protects you from paying for damage that was not yours.
Across the Egyptian rental market, responsibility is normally split — the lessor carries scheduled servicing and mechanical failure, while the hirer carries fuel, daily checks and greasing, and anything caused by misuse, overloading or an accident on site. Two habits make that split workable:
- Photograph the machine at handover, and again at off-hire. Walk around it with a phone, capture tyres or tracks, glass, panels, cylinder rods, teeth and the hour meter, and keep the images with the delivery note. This is the single most useful five minutes in the whole rental.
- Record the hour meter daily. Hours are the unit that drives service intervals and, on many agreements, the fair-wear calculation. They also tell you whether the machine is genuinely working or standing — the same distinction that shapes what an excavator hire actually costs.
If a machine arrives on a low-bed with fresh damage from the road, note it before it is unloaded rather than after; transport is its own risk stage, as anyone who has managed a site-to-site move knows. When a fault does turn up, write it down, tell the site supervisor and the rental provider the same day, and if it is safety-critical — brakes, steering, a hydraulic leak on a lifting circuit, cracked structural welds, a defeated safety lock — lock the machine out and stop. The short version, for the cab
Print this and leave it laminated in the machine:
- Walk a full circle. Ground stains, leaks, damage.
- Tracks or tyres — tension, wear, bolts, packing, cuts, pressure.
- Cylinder rods and hoses — scoring, chafing, weeping.
- Bucket, teeth, pins, retaining bolts, coupler locked.
- Guards, steps, mirrors, beacon, lights, alarm.
- Grease per the chart.
- Levels cold: engine oil, coolant, hydraulic, fuel; drain the water separator.
- Air filter and radiator core — clean, in this climate, means daily attention.
- Cab: belt, extinguisher, controls neutral, safety lock on, glass clear.
- Start clear, warm up, watch the lamps, cycle every function, test brakes and steering.
- Log the hour meter and report every defect the same day.
Ten to fifteen minutes, every shift, by the person who is about to operate the machine. It is the cheapest maintenance any site ever buys.
